Team and roles
Invite people, and control what each of them can change.
What this is
Team Management is where you invite the people who administer Mailyte with you, and decide how much each of them can change.
This is separate from mailboxes. A colleague with an email address does not automatically get access to this dashboard, and someone who administers the dashboard does not automatically have a mailbox. See Creating mailboxes for addresses.
How it works
Everyone you invite gets one of four roles, and the difference between them is exactly this:
- Owner — everything, including organization settings and deleting the organization. The person who created the organization is the Owner.
- Admin — manage domains, mailboxes, team members and billing. Cannot change organization settings or delete the organization.
- Member — see the dashboard and the reports. Changes nothing.
- Viewer — the same as Member: look, do not touch.
An invitation is sent by email and moves through states you can see on the list: Pending until they accept, then Accepted. It can also end up Expired, Revoked if you withdrew it, or Rejected if they declined. A pending invitation can be resent or revoked at any time.
The Team Activity Log shows what your team has been doing, and the member list exports to CSV when somebody needs the roster.
Custom roles are not available yet — the four above are what exist today.
Set it up
- Go to Team Management and press Invite Member.
- Enter their work email address — the one they will sign in with. It does not have to be a Mailyte mailbox.
- Choose the role. Give Admin to people who genuinely administer mail; Member or Viewer covers anyone who only needs to look.
- Send it. They receive an email with a link that expires, so tell them to expect it.
- Watch the status change to Accepted. If it sits Pending, use Resend Invitation — the first one is often filed as spam.
- Review roles when someone changes job, and revoke access on the day someone leaves rather than at the end of the month.
When something is wrong
The invitation never arrived. Ask them to check their spam folder, then resend. If it still does not land, the address may be wrong — revoke it and invite again rather than resending to the same bad address.
The invitation expired. Invitations do not last forever. Send a fresh one.
They accepted but cannot change anything. They are a Member or Viewer. Change their role to Admin.
Nobody can change organization settings. Only the Owner can. If the Owner has left the company, open a support ticket — this is not something an Admin can grant themselves, by design.
Somebody left. Revoke their access here. If they also had a mailbox, suspend that separately under Mailboxes; the two are not linked.
